How will I get my delivery?

Local Deliveries

Most local deliveries can be accommodated with next-day service and in some cases, even same-day service. However, we do recommend communicating your lab's specific needs to your Account Manager ahead of time so we can provide you and the rest of our clients with the quality of service that you and they deserve.


Regional Deliveries

Most regional deliveries are delivery points outside of 100mi from any SD branch. Regional delivery routes are accommodated with weekly or bi-weekly service. Please work with your Dedicated Account Manager to communicate your lab's specific needs ahead of time so we can provide you and the rest of our regional clients with the quality of service that extractors deserve.


3rd Party Deliveries and Shipping

Our dedicated Shipping Coordinator is committed to ensuring your 3rd party delivery, e -commerce shipment and all other shipping needs are met to the highest standards in the industry. Our Dedicated Account Managers will collaborate with the Shipping Coordinator to ensure your order is expedited in the fastest lanes, for the best pricing so we can provide you with the quality of service that extractors deserve.

Notifications

Because we know how valuable your time and how critical lab supply both are to your operations, we also offer text alerts for your deliveries. How do I get a quote?

How do I confirm my order for dispatch?

ORDER CONFIRMATIONS


All orders must be confirmed by 3pm local time to qualify for next day delivery or will call pickup.

Order Confirmations must be confirmed with the following information:​

Delivery - day, time, address, limitations

Receiving - hours, contact person and phone

Empties - how many, how much

Payment Method- Credit cards, Wire Transfers, Checks must be received prior to order confirmation.

How much are special delivery requests and appointments?

Special requests, delivery appointments, time constraints, appointment requests and weekend deliveries ($250 fee) must be confirmed with your supply specialist by 3PM local time one business day prior to your order fulfillment.

What forms of payment do you accept?

Here at Solvent Direct we strive to make your ordering and fulfillment process as streamlined as possible. Please find the below list of acceptable forms of payment.


CASH - Our drivers accept cash payments on delivery and at will call locations.

CHECKS, CASHIER CHECKS & MONEY ORDERS - Checks must be received and cleared by the bank by 3pm local time one business day prior to dispatching delivery. Please note it may take up to 7-10 days for a check to clear our account before the order is confirmed for dispatch.

CREDIT CARD - We accept all major credit cards. We can provide one-time payment links per transaction or we can establish an ongoing credit card authorization account by filling out our credit card authorization form found at www.solventdirect.com/cc. Please note credit card payments must be received prior to confirmation one business day prior by 3pm local time. 3.75% processing fee.

ACH - ACH payments must post to Solvent Direct bank account by 3pm local time one business day prior to dispatching delivery. No applicable fees.

WIRE TRANSFER - Wire payments must post to our account by 3pm local time one business day prior to dispatching delivery. No applicable fees. Please note wire transfers can take up to 24-48 hours for the wire to clear our account before the order is confirmed for dispatch.

ZELLE - Zelle payments must post to Solvent Direct bank account by 3pm local time one business day prior to dispatching delivery. No applicable fees.

PAYPAL - Paypal must post to Solvent Direct account by 3pm local time one business day prior to dispatching delivery. 3.75% processing fee.

Do you have cancellation and re-delivery fees?

CANCELLATION & RE-DELIVERY FEES


Cancellations must be received within 24 hours of delivery day or a $150 cancellation fee will be assessed in addition to your regular delivery fee.


$150 Re-delivery fee may be applied for missed or canceled deliveries.

Do you offer weekend deliveries?

WEEKEND DELIVERIES

Any delivery scheduled for the weekend (Saturday and Sunday) will require an additional fee of $150 in addition to regular delivery fee and are based on availability.

Weekend pickup and will-call orders will require an additional $75 pick up fee and are based on availability.


In some cases including LN2, N2, CO2, and Dry Ice; weekend deliveries and will-call orders are not guaranteed for confirmation unless placed by 3pm Thursday.

How can I save on delivery fees?

FEES & POLICIES

Fleet delivery fees are typically $109.99 for every hour of travel to a customer location. There is no return fee.


Orders received after 3pm local time one day prior require $250 RUSH FEE for same or next day delivery. Rush orders are based on availability only.


Holdover Fee - ​30 minute grace period included for driver at delivery site. There is a fee of $100 per 30 minutes​​ thereafter or reschedule fee of $100

What are your policies for ordering dry ice?

DRY ICE ORDERING


Dry ice sublimates at a rate of 3-6% per day and we do our best to deliver the freshest dry ice at the lowest prices possible. For this reason, dry ice production and order deadlines vary by region. In most markets, dry Ice orders must be received by 3pm local time one business day prior to delivery, however in regions such as Oklahoma CO2 supply is scarce and we require 1 week lead times for orders. In other regions that we service using partner carriers, we may require additional lead time to ensure a smooth supply chain.


Please contact your Account Manager or a Supply Specialist at 1-833-PURE-GAS to confirm what the specific dry ice ordering requirements are in your region.


Bins and Refundable Deposits require a $600 refundable bin deposit upon delivery of the first bin. In some regions we also charge a daily rental fee after an initial period of free rent. All bins must be returned to Solvent Direct and Solvent Direct will not accept any bins or containers not provided by Solvent Direct. After 10 days dry ice bins will accrue rent of $7 per day.


Deposit returns take 2 weeks to complete from date received and return payment will be processed through check.​

How much are cylinder and dry ice bin refundable deposits?

Cylinders, dry ice bins and other reusable assets require a one-time refundable deposit to be held by Solvent Direct pending the return of such assets. After the first refundable deposit is paid for each asset, following orders can be delivered with a "drop and swap" meaning the empty cylinder, bin or other asset is swapped with a full container during the delivery. In the case of a drop and swap, no deposit is necessary.


LP Cylinder Deposits

All LP239 cylinders require a $200 one-time, refundable deposit.

All LP5 cylinders require a $100 one-time, refundable deposit.

Compressed Gas Cylinder Deposits


All Nitrogen cylinders require a $300 refundable deposit upon delivery.

All Nitrogen dewars require a market rate refundable deposit upon delivery.

After 10 days Compressed Gas Cylinders will accrue rent of $7 per day.


Dry Ice Bin Deposits

Dry Ice Bin (HR-11, 500lbs) refundable deposits are $600

Are prepaid or special order products refundable?

PREPAID DEPOSITS


No. When prepaying for a product or making an advance payment in order to lock fixed pricing, special orders or other special accommodations, the deposit is non-refundable.

Do you offer terms?

  1. Terms are provided to contracted customers with supply agreement.
  2. Terms require purchase history of at least 6 months to qualify and are based on approval.
  3. Customer must complete and submit credit application for review and customer service or sales rep to confirm application is complete before sending to accounting:

a. Completed Credit Application
b. Completed ACH Payment Authorization
c. Send a copy of Voided Check

In order to encourage manufacturers to begin or continue their manufacturing operations in their jurisdiction, most states offer manufacturers a variety of property tax and sales and use tax exemptions.


State property tax exemptions may be available for:


  • the manufacturer’s real estate,
  • machinery and equipment,
  • tools,
  • materials used in the manufacturing process, and
  • certain manufactured goods.

Items that a state may exempt from sales and use tax include:

  • raw materials used in manufacturing,
  • machinery and equipment,
  • fuel and utilities,
  • packaging materials, and
  • pollution control equipment.

In addition, manufactured goods sold to resellers are usually exempt from sales tax as resales.


What is a resale certificate and who can use one?

A resale certificate is a signed document that indicates that the purchaser intends to resell the goods. It is usually provided by a retailer to a wholesale dealer. In addition, manufacturers issue resale certificates to suppliers of materials that become incorporated into the products they manufacture. Resale certificates are usually provided in a “blanket” form. This means that the resale certificate applies to all items purchased from the vendor.

Any merchandise obtained upon resale certificate is subject to use tax if it is used or consumed by the purchaser in any manner, and must be reported and the tax paid thereon direct to the appropriate jurisdiction.


Most states require certain elements in order for the resale certificate to be valid. These elements are:


  • Name and address of purchaser
  • Name and address of seller
  • Registration number of purchaser
  • Description of property purchased for resale
  • Reason for exemption
  • Statement that if the property is put to use in a taxable manner that the purchaser will remit the consumer’s use tax
  • Date and Signature and Title of authorized individual at the purchaser

Note that some resale certificates expire. It is important to update certificates on a regular basis. However, it is recommended to retain the prior certificate until the period it covers has been closed for audit purposes.


It is also important to realize the difference between a resale certificate and a resale license. A resale license is issued to businesses and individuals who sell goods and services subject to sales tax. A resale certificate is the form you issue to suppliers, and it includes a spot for your resale license number.

Does Solvent Direct accept returns?

All sales are final and invoices are subject to Terms and Conditions. ​Any unopened, sealed, non-perishable item return requests must be made in writing to the account manager and are subject to a 30% restocking fee. All credits will be at the discretion and approval of management and only after inspection of returned product.


Management reserves the right to deny credit for any reason. Common reasons for denial are condition of product, expiration date of product, temperature of storage and/or consistency of product. Please note delivery fees and freight costs cannot be "re-stocked" and are therefore cannot be credited included. Deposit returns take 2 weeks to complete from the date of management approval.

How do I get a deposit return?

Deposit Returns


All cylinders, bins and other assets must be returned to Solvent Direct at customers' sole expense.

Solvent Direct will not accept any cylinders or containers that do not belong to Solvent Direct.


Deposits returns require a 2 week inspection period from date of return. This gives our QC teams time to ensure the property has been returned in safe, working order.


Deposit refunds will be processed through check.
